Position Overview:
The Administrative Assistant is responsible for ensuring the smooth, efficient, and compliant operation of daily business needs. This role requires strong problem‑solving abilities, effective communication skills, and sound judgment to navigate non‑routine situations with professionalism and discretion. The Administrative Assistant serves as a central point of coordination for departmental operations, communication, and administrative processes.
This position requires knowledge and skills gained through formal training or considerable related work experience to perform a range of day‑to‑day activities. The Administrative Assistant recognizes and resolves typical problems that arise within their work area without needing supervisory approval and selects appropriate solutions from established options. The quality of the services and information provided by this role directly impacts the immediate team, and work is performed by following standardized procedures and practices with regular but moderate supervision and guidance.
The role also requires an understanding of how assigned duties connect with other team members’ responsibilities and how the team integrates with other departments or functions. Work is performed within established procedures with a moderate level of oversight.
Candidates must have prior related experience, including proficiency with computer software used to generate complex charts, spreadsheets, databases, and presentation materials. Advanced skills in word processing, spreadsheet management, and database administration are essential. The role also provides clerical and administrative support, typically to one leader and, in some cases, to their supporting staff.

Your Day to Day as Administrative Assistant
- Maintain & track training records, safety qualifications, and equipment operator qualification materials for personnel
- Assist with the development of training forms & presentation materials
- Coordinate with the customer Security and Security Clearance Administration for site access & clearance processing
- Interface with various customer departments and employees to accomplish tasks (IT, Facilities, Help Desk, etc.)
- Coordinate with the customer Medical unit for required testing of contractors.
- Ensure Site Manager has updated calendars for both networks
- Perform purchase orders for miscellaneous office items
- Coordinate with new hires and visitors to ensure smooth transition onsite
Required Qualifications:
- High school diploma or equivalent
- Minimum of 2 years of experience in related discipline
- Discipline-specific certification may be required
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong internet research skills.
- Ability to work independently while managing multiple tasks, shifting priorities, and deadlines.
- Strong attention to detail, accuracy, and follow-through.
- Excellent interpersonal and communication skills, including professional verbal and written communication.
- Ability to handle sensitive and confidential information with discretion and sound judgment.
- Exceptional organizational and time management skills, with proven problem-solving abilities.
- Professional, polished, and collaborative team player who can interact effectively with staff at all levels, visitors, and external partners.
- Proficiency with office equipment and standard business applications, with the ability to learn new systems quickly.
- Ability to work in an open office environment and adapt to changing needs.
- Ability to travel occasionally, as required by departmental activities.
- Reliable, self-motivated, and able to anticipate needs to support smooth office operations.
- U.S. citizenship required.
- Ability to obtain and maintain DOE security clearance, as applicable.

Pay: $$46,000 - $$74,000
The base salary range for this position in Tennessee (US-TN) at the start of employment is expected to be between $$46,000 and $$74,000 per year. However, the base salary offered is based on local job market factors, and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits. Details of participation in these benefit plans will be provided at such time the selected job candidate receives an offer of employment. If hired, the selected job candidate will be employed 'at-will,’ unless employed at a location and in a position subject to a collective bargaining agreement. The company further reserves the right to modify base salary (as well as any other discretionary payment, compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and other market factors.
