Position Overview:
The Administrative Assistant is a key organizational figure responsible for managing the smooth functioning of the office's administrative operations. This position requires exceptional multitasking abilities, strong interpersonal skills, and a keen attention to detail. The Administrative Assistant will serve as the first point of contact for clients and coordinate extensive travel arrangements and expense reporting for executives. Your Day to Day as an Administrative Assistant:
- Client Interaction:
- Greets clients and visitors warmly, assessing their needs and directing them to the appropriate personnel or resources.
- Develops and maintains positive relationships with clients and colleagues, ensuring that all interactions reflect the company’s values of professionalism and client service.
- Call and Appointment Management:
- Manages a multi-line phone system, answering, screening, and routing calls promptly and efficiently.
- Schedules appointments, meetings, and conference room bookings, sending calendar invitations and reminders.
- Maintains the daily and weekly calendar for department heads and executives, prioritizing appointments based on urgency and importance.
- Administrative Support:
- Performs diverse clerical tasks such as data entry, preparing reports, and maintaining filing systems (both electronic and paper).
- Assists in the creation and formatting of documents and presentations to ensure consistency and professionalism.
- Supports the onboarding process for new employees, guiding them through necessary paperwork and IT setup.
- Travel Arrangements:
- Researches and arranges transportation, accommodations, and itineraries for traveling executives, ensuring all travel adheres to company policies and budget constraints.
- Maintains a database of preferred vendors and negotiates travel rates to maximize cost efficiency for the company.
- Prepares comprehensive travel itineraries including flight details, hotel reservations, and meeting schedules.
- Expense Reports:
- Compiles and processes expense reports for executives, validating receipts, coding expenses correctly, and ensuring timely submissions.
- Establishes best practices for tracking and managing expenses, providing reports to management as needed.
- Collaborates with the finance department to ensure all expenses align with budgetary constraints.
- Office Management:
- Oversees the reception area, ensuring it is clean, organized, and welcoming.
- Monitors and orders office supplies, ensuring that inventory levels are sufficient, and all areas remain stocked.
- Handles incoming and outgoing mail and packages and coordinates the use of courier services as necessary.
- Maintains relevant HR posters and ensures compliance with Federal and State law requirements.
- Assists in organizing and promoting office events, volunteer opportunities, and team-building activities.
Required Qualifications:
- High school diploma or equivalent required; an associate degree in Office Administration, Business Administration, or a related field is preferred.
- A minimum of two (2) to four (4) years of experience in an administrative or receptionist role is preferred, ideally in a corporate environment.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment (copiers, fax machines, etc.).
- Familiarity with appointment scheduling and travel management software; experience with expense management systems is a plus.
- Excellent verbal and written communication skills; capacity to articulate information clearly and concisely in all interactions.
- Strong listening skills and the ability to demonstrate empathy and professionalism.
- Superior organizational abilities, with a demonstrated capacity to prioritize tasks, work independently and manage multiple deadlines effectively.
- Strong customer service mindset with exceptional interpersonal skills.
- Ability to work well under pressure and maintain composure in challenging situations.
- Must be a U.S. citizen with no dual citizenship.

Pay: $51,000 - $72,000
The base salary range for this position in North Carolina (US-NC) at the start of employment is expected to be between $51,000 and $72,000 per year. However, the base salary offered is based on local job market factors, and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits. Details of participation in these benefit plans will be provided at such time the selected job candidate receives an offer of employment. If hired, the selected job candidate will be employed 'at-will,’ unless employed at a location and in a position subject to a collective bargaining agreement. The company further reserves the right to modify base salary (as well as any other discretionary payment, compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and other market factors.
