Position Overview:
As our Shop Coordinator (1-year contract), you will support Shop Supervision and Operations leadership by ensuring accurate and timely timekeeping, labour hour uploads, and payroll processing. You will assist with production and burden hours reporting and reconciliation, while working closely with Supervisors, Payroll, Finance, and Labour Relations to resolve discrepancies and ensure compliance with collective agreement requirements.

Your Day to Day as our Shop Coordinator (1-year contract):
Time & Attendance
- Ensure daily accuracy of processed time and attendance.
- Send emails to shop supervision for clarification/questions.
- Clear error file daily as well as ensure all overtime worked has been authorized.
- Correct all variances and posted hours to Payroll.
- Enter absences daily into Shop Tracker (application for tracking shop hours).
- Enter all request to bank hour forms in Shop Tracker.
- Participate in month end deadlines with Payroll ensuring accurate and complete data.
- Correcting and corresponding with Payroll regarding shop pay issues.
Labour Upload (SAP)
- Upload labour hours into SAP daily.
- Review and correct any errors.
- Send email to shop supervision for corrections to errors. Follow up daily for responses in preparation for month end to ensure accurate reporting. Escalate confirmations accordignly beyond 24 hours.
- Review and correct variance reports provided by Finance & Accounting.
- Run variance reports daily to ensure any adjustments are communicated to the shop supervision.
- Participate in month end activities with Finance & Accounting to ensure accurate, complete and timely reporting of hours.
Variance Corrections
- Advise shop supervision of errors in a timely manner.
- Track labour upload issues to ensure corrections are timely.
- Follow up on emails sent requesting corrections for completeness of recording hours.
- Upload labour once corrections have been provided.
- Escalate any issues that have not been addressed to the Focus Shop Manager for a timely resolution, if no resolution in 24 hours contact Director, Operations.
Overtime
- Ensure all overtime hours are approved.
- Monitor and assist shop supervision to control allocation of overtime in accordance with the collective agreement.
- Update the overtime tracking report on a weekly basis.
- Send updated overtime report to the shop supervision each Wednesday by 10am per the collective agreement.
Reports
- May be responsible to supply weekly, monthly and quarterly production/burden hour reports for all business units and assist with reconciliation as necessary;
- May need to run reports to assist with administration of the shop floor and compliance with policies and Collective Agreement as follow:
- Refused Overtime Report;
- Shop Tracker error Report;
- Variance Reports;
- Request to Bank Statutory Holidays to accounts and finance/payroll.
Administration
- Support in the drafting/creating of quotes for various supplies, i.e. Tool inventory, consumables.
- Coordination of onboarding of new employees with Supervisors.
Required Qualifications:
- High School Diploma, with post-secondary education in Administration or equivalent education and/or experience.
- 1-2 years' experience in an office setting working in administration or payroll.
- Experience working with Collective Bargaining Agreements an asset.
- Advanced knowledge in in MS Office - Word, Excel (including Pivot Tables, VLOOK UP and data tables).
- Knowledge of SAP is an asset
- Strong attention to detail required.
- Strong communication skills, able to proactively obtain data needed to get job done.
- Experience working in a fast-paced environment, while multi-tasking and maintaining organization.
- Ability to follow established procedures.
- Detail-oriented with excellent organizational skills.
- Strong interpersonal skills with the ability to work effectively with others.

The base salary range for this position in Ontario (CA-ON) at the start of employment is expected to be between $53,000 and $71,000 per year. However, the base salary offered is based on local job market factors and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits.
