We’re looking for an experienced Executive Administrative Assistant – Field Services to join our Cambridge ON team and provide critical support to the Executive Vice President (EVP), Projects & Field Services, and leadership team.  

 

Key Responsibilities


Executive Support

 

  • Manage the EVP’s complex calendar, scheduling meetings, travel arrangements, and ensuring seamless time management.
  • Prepare, review, and submit expense reports and company vehicle receipts for the EVP and oversee reports submitted by direct reports.
  • Handle the review and approval process of internal and external documents, ensuring all necessary signatures and compliance checks are completed.
  • Oversee and track compliance training for the Projects & Field Services department, following up to ensure timely completion.
  • Coordinate standing meetings, financial reviews, and leadership meetings; prepare agendas, take meeting minutes, and track action items for follow-up.
  • Consolidate and prepare key reports for the EVP, including updates for executive leadership.

Leadership & Department Support

  • Act as a central point of coordination for the Projects & Field Services leadership team.
  • Assist in preparing high-level business reports, presentations, and updates for the President’s Commercial Operations Business Review, the BWXT Board of Directors, and key customers.
  • Gather and consolidate project, safety, quality, and financial updates from leadership and ensure timely submission.
  • Assist in preparing price approval documents and ensuring their timely submission to the Office of the President of Commercial Operations.
  • Maintain up-to-date organizational charts and ensure key department documentation is current.
  • Support the planning and coordination of leadership team offsite meetings and strategic sessions.

 

 

Education & Experience
 

  • College diploma in Business Administration (or related field) with 10+ years of office experience, including 5+ years as an Executive Assistant.
  • Experience in a manufacturing, field services, or project-based environment is a plus.
  • Technical Proficiency: Highly skilled in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat; experience with DocuSign is an asset.
  • Communication & Interpersonal Skills: Ability to communicate effectively with senior leadership, customers, and stakeholders, while maintaining discretion and professionalism.
  • Organizational Excellence: Strong time management, multi-tasking, and problem-solving skills with the ability to work independently and anticipate needs.
  • Attention to Detail & Confidentiality: Ability to handle sensitive information with discretion and demonstrate the highest level of integrity.

The base salary range for this position in [[Ontario]] at the start of employment is expected to be between $[[44,000]] and $[[69,000]] per year. However, the base salary offered is based on local job market factors and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits. Details of participation in these benefit plans will be provided at such time the selected job candidate receives an offer of employment.
