We are currently recruiting for a Document Control Coordinator for our facility in Cambridge, Ontario, Canada.

 

JOB PURPOSE

 

Accurately control, process, track, and distribute critical engineering documentation received/issued to/from vendors/customers for nuclear projects and sales orders. Ensure latest revisions of BWXT Canada Ltd.’s documentation is accurately controlled and processed.

 

This job reports to the Quality Records Supervisor and communicates with customers, vendors and employees.

 

RESPONSIBILITIES

 

Document Administration

 

  • Review documents/transmittals for discrepancies upon receipt.
  • Classify incoming documents to determine appropriate internal review authority and pertinent document information is accurately logged in an Access database.
  • Update database when documents are returned from internal review and documents are formally issued to customers/vendors via Letter of Transmittals.
  • Issue letters of transmittal to customers/vendors and ensure documents submitted reflect the letter’s content.
  • Issue letters of transmittal both internal/external when documents have been revised in the database.
  • Prepare/maintain customer/vendor files in a structured format for ease of retrieval by project team during contract life and keep the files readily available and accurate for internal/external auditors.
  • Project technical/customer/vendor/BWXT Canada Limited files are prepared and scanned electronically (PDF), stored in electronic folders, authenticated and OCR as per QAM Section 17, QOP-012 and QCI 706-002.
  • Retrieve files stored offsite as required and then ensure all contents are scanned (PDF), authenticated and OCR.
  • Issue BWXT Field Service drawings that have completed PDM Workflow to the database for controlling to vendors and employees.
  • Input and track the flow of BWXT/vendor documents submitted in VenDM for review and approval related to various OPG projects.
  • Enter all controlled documentation into Windchill Lite for easy access to all personnel.
  • Once the QAM is revised in the database, issue in Kiteworks and send out via email.

 

Delivery of Documentation

 

  • Deliver controlled manufacturing/service documents to appropriate personnel and ensure they have the latest version of the documentation.
  • Production Order Revisions are completed in a timely manner.
  • Process Raised/Released Stop Notice/SDCN to the shop.

 

Reports & History Dockets

 

  • Issue regular reports, compose letters and memorandums as well as maintain records, obtain signatures and expedite documentation.
  • Create the customer copy of the project History Docket for electronic or hard copy submissions using the information provided in detailed indexes.
  • Issue the SDCN Report and email to all personnel associated with Production Orders for the shop.

 

Purchase Requisitions

 

  • Document Control uses AutoReq database and provided inputs to enter purchase requisition information into SAP to create purchase requisitions for approval.

 

Secured Files

 

  • Setup folders in Kiteworks to share BWXT documents pertinent to the contract for easy access.

 

Security

 

  • Ensure the controlled access and security of the vault as well as maintain off-site records.

 

Receiving

 

  • Process workflow requests to receipt items vs invoiced amounts submitted.

 

KNOWLEDGE AND EXPERIENCE

 

  • Experience in records management.
  • Clear understanding of the sections responsibilities, procedures and methods of operation.
