Position Overview:
As our Document Control - Quality Records Supervisor you will lead the Document Control and Quality Records departments of the Components business of BWXT Canada to ensure critical documentation for nuclear projects and sales orders are accurately controlled, processed and distributed as appropriate to internal departments, customers and suppliers.

Your Day to Day as our Document Control - Quality Records Supervisor

  • Manage, supervise and coordinate the work of the Document Control and Quality Records teams to ensure consistent movement of documents per department requirements and preparation of History Dockets per customer and regulatory requirements meeting critical milestones and timelines. Monitor and make necessary changes to achieve daily, weekly and yearly targets.
  • Manage multiple tasks, schedules, and resources requiring strong organizational skills.
  • Uphold good ethical standards and be a role model. Ensure staff are fully trained/aware on company policies, including ethics, and ensure adherence.
  • Anticipates project needs and plans ahead. Create detailed schedules for the team, allocate resources with the support of Director QA & QC and other key stakeholder, and set clear expectations for the team.
  • Regularly communicate project goals, timelines, and expectations to the team. Ensure everyone understands their roles and responsibilities.
  • Take ownership of Document Control & Quality Records activities. Ensures that team members are accountable for their tasks and deliverables.
  • Meticulously review documentation, records, for accuracy and completion.
  • Identify issues early, analyzes causes, and collaborates with the team to find solutions efficiently to remove barriers in a timely manner.
  • Assess risks associated with Document Control & Quality Records activities. Develop contingency plans with support from the Director, QA & QC and mitigate potential disruptions.
  • Work closely with other departments (such as Production, Engineering, Projects, Quality Assurance & Quality Control etc) to align production/project goals, priorities and address challenges collectively.
  • Ensure departments are following Company procedures and QAM.
  • Develop guidelines, where necessary to ensure consistency in document control and history docket creation practices that align with best industry practices.
  • Coordinate communication and data flow between departments, customers and suppliers.
  • Provide training and coaching to help new and existing team members develop in their current role, while giving them the opportunity to cross train in different areas. Training should have an emphasizes on safety, quality, teamwork and productivity.
  • Manage yearly goals/performance reviews. This includes regular mentoring and coaching employees.
  • Ensure the controlled access and security of the vault as well as maintain off-site records.
  • Manage and approve timesheets, vacation, scheduling for staff while ensuring adequate coverage for all the projects.
  • Support the Quality Records and Document Control Functions as follows:
    • Ensure team is properly classifying incoming documents to determine appropriate internal review authority and pertinent document information is accurately logged in an Access database;
    • Ensure team is properly communicating with Program Management to determine if the document requires customer approval;
    • Verify requested changes have been made when revisions to documents are submitted from vendors. Revised documents without discrepancies are forwarded to internal review authority with latest submission/previous submission;
    • Ensure customer/vendor files are maintained in a structured format for ease of retrieval by project team during contract life and keep the files readily available and accurate for internal/external auditors;
    • Ensure Micrographics film and electronic data are properly processed and stored per Company requirements;
    • Ensure the process for controlled and uncontrolled documents to various vendors are maintained.
  • Ensure compliance to all labour, human rights, safety, and environmental regulations and associated company policies.
  • Follow all safety policies and procedures and ensure the same of direct reports. This includes wearing appropriate personal protective equipment in required areas.
  • Responsible for reporting any personal workplace injuries immediately and supporting in the completion of accident reports for injuries reported by your direct reports.
  • Responsible for employee relations which includes, but is not limited to, hiring, work direction, mentoring, coaching, disciplining and the identification of training needs for employees.
  • Manage and mentor employees. This includes setting performance targets, establishing annual goals with employees and conducting performance reviews as required by company policy.
  • Ensures all employees are suitably trained/qualified/licensed for the various tasks and jobs they must complete.
  • Sets a positive example by maintaining a respective attitude, cooperating with co-workers, management, and internal and external customers
  • Maintains an acceptable level of performance by following established policies and procedures, and participating in continuous improvement efforts by supporting and implementing new ideas.

Required Qualifications:

  • Post secondary education in Administration, Business or related program.
  • 7+ years experience working in document control or records management in a manufacturing environment.
  • 3+ years experience working in Supervisory or Lead capacity.
  • Advanced Microsoft Word, Excel and Access abilities
  • Inspiring leader who can motivate and guide their team to meet project and daily targets.
  • Ability to communicate, motivate and lead teams in the pursuit of optimal resolutions to problems.
  • Excellent organizational and time management skills with a focus on continuous improvement.
  • Strong communication and problem-solving skills to lead within a team-based environment.

Preferred Qualifications:

  • Experience working in the nuclear, defense or aerospace industry an asset
  • Experience using SAP and Kiteworks an asset.
  • Electronic document management systems (Windchill) is an asset.

The base salary range for this position in Ontario (CA-ON) at the start of employment is expected to be between $88000 and $129000 per year. However, the base salary offered is based on local job market factors and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits.
